Subscription Terms and Billing
Effective Date: 26 November 2025
1. Subscription Plans and Billing
By subscribing to The Charity CRM, you agree to the following terms:
- Subscription Period: Your subscription will continue until canceled. For monthly plans, you will be billed every month on the same day. For annual plans, you will be billed once per year.
- Monthly Subscriptions: Billed monthly on the same calendar day each month
- Annual Subscriptions: Billed once per year with discount savings
- Free Trial: 30-day free trial with full access to all features
2. Automatic Renewal
Your subscription will automatically renew at the end of each subscription period unless you cancel before the renewal date.
- Monthly Plans: Renew automatically on the same day each month
- Annual Plans: Renew automatically on the anniversary date
- Billing Date: Charges occur on the renewal date unless cancelled beforehand
3. Cancellation
You may cancel your subscription at any time through your account dashboard or by contacting our support team. Cancellation will be effective at the end of your current billing period.
- Self-Service Cancellation: Cancel through your account dashboard
- Support Cancellation: Contact [email protected]
- Effective Date: Cancellation takes effect at the end of current billing period
- Service Access: Continue using the service until the end of paid period
4. Refunds
We do not provide refunds for partial subscription periods unless required by law. Annual subscriptions may be eligible for a prorated refund.
- Monthly Subscriptions: No refunds for partial months (service continues until period end)
- Annual Subscriptions: Prorated refunds available for the unused portion
- Processing Time: Approved refunds processed within 5-10 business days
- Refund Method: Refunds issued to the original payment method
5. Price Changes
We may change subscription prices at any time, but will provide at least 30 days notice before any price change affects your subscription.
- Advance Notice: Minimum 30 days notice for any price increases
- Notification Methods: Email and in-app notifications
- Current Subscribers: Protected until next renewal cycle
- Cancellation Right: Cancel before price change takes effect
6. Payment Processing
Payments are processed securely through Stripe. Your payment information is not stored on our servers.
- Stripe Integration: All payments processed through Stripe's secure platform
- Data Security: Payment information encrypted and never stored on our servers
- Accepted Methods: Major credit and debit cards
- PCI Compliance: Stripe maintains PCI DSS Level 1 compliance
7. Failed Payments
If a payment fails, we will attempt to process the payment again within 3 days. After multiple failed attempts, your subscription may be suspended until payment issues are resolved.
- Retry Attempts: Failed payments automatically retried within 3 days
- Multiple Attempts: Several retry attempts before suspension
- Email Notifications: Immediate notification of payment failures
- Account Suspension: Service suspended after failed retry attempts
- Resolution: Update payment method to restore service
8. Additional Service Features
Your subscription includes comprehensive charity management features:
- Unlimited Records: No limits on donor records, campaigns, or communications
- Customer Support: Email support during business hours
- Data Export: Export your data in common formats
- Regular Updates: Access to new features as they become available
9. Free Trial Terms
New customers receive a 30-day free trial with complete access to all features:
- No Payment Required: No charges during the trial period
- Full Access: Complete feature access during trial
- Trial Notifications: Reminders before trial expiry
- Data Preservation: Trial data preserved if you subscribe within 30 days
10. Charity-Specific Considerations
Special provisions for charitable organizations:
- VAT Treatment: Appropriate VAT handling for UK charities
- Invoice Requirements: Detailed invoices for accounting purposes
- Annual Billing: Align billing with charity budget cycles
- Multi-Year Options: Longer commitment terms available upon request
